See your match score & applyThe Assistant supports the delivery of services and transactions in operational areas such as finance, human resources, procurement, logistics, and information technology management at the WHO Country Office in Lithuania. The role involves supporting standard processes, providing client service, and assisting in administrative and operational tasks to facilitate WHO's health objectives in the country.
Responsibilities
- Support the delivery of services and transactions in one or more specialized operational areas and subdisciplines such as human resources management, procurement, and/or information technology management
- Share information with clients, staff and partners on procedures, rules, and regulations for respective service lines
- Maintain consistency in approach and adherence to procedures, rules, and regulations in service delivery
- Support delivery of standard processes, transactions, services and work products aligned with business plans and adherence to rules and procedures
- Escalate to supervisor areas for process and procedure improvements to optimize client service, efficiency and effectiveness
- Support training in relevant areas of business operations support for clients and staff
- Perform finance-support services including imprest accounts and payments, budget administration, financial monitoring, income and awards administration
- Support administration of human resources plan and support services including contract management, staff recruitment, selection, onboarding and briefing of new staff
- Procure goods/services including support to purchase requisitions, administering tender/bidding process and supplier management
- Provide information technology support services for collaboration and network infrastructure, common applications, and maintenance of associated hardware and software
- Provide support for logistics and transportation administration including warehouses, office vehicles, supervision of drivers, and related activities
- Administer inventory of supplies and organizational assets
- Manage travel administration including processing requests, visa issuances, flight and hotel bookings and follow up on travel related issues
Requirements
- Completion of secondary education
- Training and certification in one or more UN operational service areas or systems
- A minimum of three years of work experience relevant to the position (administering support services and transactions in the operational support area, including finance, and/or human resources, and/or procurement, and information technology management support)
- Experience in administrative support positions within WHO or another United Nations agency (desirable)
- Experience in Oracle-based systems or another enterprise resource planning system (desirable)
- Knowledge of WHO's support procedures, and practices in one or more of the following specialized operations' support disciplines: financial, human resources, procurement and/or information technology support services
- Strong interpersonal skills
- Flexibility to adapt to competing priorities and work in a fast-paced environment
- Proficiency in computers and office software packages, handling of web-based management systems, enterprise resource planning (ERP) systems and Cloud Management Enterprise System such as Workday
- Expert knowledge of English
- Expert knowledge of Local Language
- Intermediate knowledge of French (desirable)
- Intermediate knowledge of Russian (desirable)
- Intermediate knowledge of German (desirable)
