See your match score & applyThe Logistics Assistant supports field office logistics operations to ensure efficient, secure, and accountable delivery of food and cash assistance to beneficiaries in the Rumbek area. The role involves coordination of deliveries, warehouse stock reconciliation, retailer management, and last mile delivery monitoring.
Responsibilities
- Provide support to Field Office logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food/cash assistance to beneficiaries.
- Support the coordination of deliveries from ports/warehouses to Final Distribution Points (FDPs) ensuring timely and accurate documentation of food movements.
- Assist with warehouse stock reconciliation between physical and system stock.
- Ensure capturing of real-time transactions for receipts and dispatches in WFP warehouses and that all backlogs that could have accumulated due to unforeseen circumstances are cleared within reasonable time to maintain 100% online data.
- Verify and reconcile Food Release Notes (FRNs) from Programme Unit with existing stock data and update the FRN tracker.
- Ensure STO and SO documents are linked to the correct FRN, activity, and consignee to improve LESS/COMET reconciliation.
- Support overall Retailer Relationship Management: onboarding, contract renewal, performance management.
- Receive, record and verify CBT invoices against supporting documents and assist with retailer performance evaluations; ensure timely transmission for reconciliation.
- Ensure local markets/retailers in CBT locations are adequately supplied to meet beneficiary demand.
- Ensure retailers’ shops/warehouses meet food storage standards and regulations.
- Monitor the LESS last mile dashboard on a weekly basis and follow up with cooperating partners (CPs) to ensure all waybills are scanned in a timely manner, maintaining accurate tracking of dispatched commodities.
- Respond to technical queries and requests from cooperating partners regarding last mile with solution-driven answers.
- Ensure losses are posted correctly by last mile operations in the corporate system (WINGS/LESS).
- Ensure Stock Transfer Orders (STOs) are closed promptly once deliveries have been completed, maintaining accurate inventory records and system reconciliation.
- Ensure cooperating partners (CPs) are well trained on last mile operations and proficient in executing tasks within the LESS system, in alignment with WFP standards and procedures.
Requirements
- Completion of secondary school education.
- A post-secondary certificate in the related functional area, such as Transport Economics, Supply Chain, Logistics, Engineering, Business Management.
- Minimum of 5 years post-secondary experience in humanitarian operations in the field of logistics or supply chain.
- Experience working with supply chain information systems including maintaining data systems, running queries on ongoing shipments, pipeline information, and food stocks.
- Experience in contract execution, including compiling contract documentation and administering third party service providers’ contracts (desired).
- Experience in Retailer Management, coordination and vendor/contract support and reporting (desired).
- Knowledge of river logistics and supply chain aspects of CBT (desired).
- Analytical skills, ability to produce thorough reports and basic recommendations.
- Strong initiative, coordination skills and ability to work within logistics operations in deep field locations.
- Ability to negotiate with local authorities and other external stakeholders.
- Proficiency in Microsoft package (MS Excel, MS Word, MS PowerPoint).
- Fluency in both oral and written communication in English.
- Oral communication in Arabic is desirable.
- Knowledge of another locally used language is an advantage.
