See your match score & applyThe position is based in the WFP sub-office in Puerto Lempira, Gracias a Dios, Honduras. The incumbent will perform quality administrative and financial tasks to facilitate efficient and timely field operations, ensuring compliance with WFP official rules and regulations.
Responsibilities
- Gather information clearly intended to serve as a basis for document drafting and report preparation by other staff members.
- Respond to inquiries and refer them to higher levels when appropriate to provide timely and correct service to clients.
- Support processing and management of ordinary administrative and financial tasks in various functional areas to contribute to effective and timely resource management.
- Provide review and correction services for standard documents to contribute to accurate documentation.
- Maintain established standard systems and files to ensure information is accurate and readily available for the relevant function.
- Detect simple discrepancies in statistics and data, such as missing information, and communicate them to higher-level officials to assist clients in their work.
- Ensure data integrity to facilitate availability of accurate information in institutional systems.
- Provide guidance on ordinary operational support methods and practices to less experienced colleagues to ensure consistent service delivery according to established requirements.
- Work with a wide variety of people, gathering feedback when appropriate to assist in providing operational support to staff.
- Develop procurement processes for NFIs under $5K required to ensure WFP operation, including drafting terms of reference, preparing comparative charts, budget estimates, creating purchase orders in the corporate system, and service certifications, ensuring compliance with WFP official rules.
- Perform financial commitments within the period (SES/GRN) in the WFP corporate system for services such as fuel, rent, electricity, internet, vehicle and office equipment maintenance, courier, cleaning, and security services.
- Verify monthly supplier invoices in the ITS corporate system.
- Manage contracts with WFP service providers in the area ensuring compliance with conditions and validity to facilitate sub-office operation, problem resolution, decision making, and effective resource management.
- Manage national travel requests (land, air, and river) through the WFP corporate system ensuring compliance with administrative and security regulations.
- Manage monthly tax exemptions for operation services and products as required, including respective liquidation.
- Manage office facility maintenance ensuring an orderly, clean, and adequate environment for staff within WFP administrative and security norms.
- Manage and control fleet and boats ensuring proper use, timely maintenance, safekeeping, and compliance with official norms.
- Manage receipt and shipment of documents and packages by boat or air.
- Manage control and handling of assigned asset inventories in the area.
- Manage petty cash and operational advances if required.
- Provide administrative support for organizing events and workshops when required.
- Perform any other administrative functions assigned by immediate supervisor.
Requirements
- Completion of secondary education cycle. Post-secondary certificate in Administration or related fields is valued.
- Minimum of five years of proven work experience in administrative activities.
- Knowledge of WFP administrative policies is desirable but not mandatory.
- Experience working with International Organizations, Embassies, or the UN System is desirable.
- Professional, courteous, discreet, and prudent manner.
- Computer skills including internet, email, mobile phone, and other digital applications.
- Spanish language proficiency at level C.
- English language proficiency at level B.
