The Assistant(e) à la logistique supports the implementation of standardized logistics and supply chain procedures to ensure effective delivery of goods and services for all assistance modalities. The role involves assisting in logistics operations, contract management, stock management, data quality, and reporting to facilitate efficient humanitarian assistance delivery.

Responsibilities

  • Assist in carrying out logistics support operations and activities following standard procedures to facilitate food assistance delivery to beneficiaries.
  • Help order and timely deliver goods and supplies to authorized partners and sites.
  • Assist in managing logistics service providers' contractual activities, including monitoring and evaluating performance.
  • Respond to technical questions and requests for assistance following standard procedures and seek advice as needed to handle requests promptly and accurately with strong customer service.
  • Contribute to budget preparation, monitoring, and revision for all execution modalities, ensuring compliance with institutional rules.
  • Assist in supervising stock management operations to analyze trends and report stock status from source to beneficiary.
  • Help manage data quality and integrity related to product accounting.
  • Support operational supply chain analysis, assessments, and operational planning for all execution modalities.
  • Process logistics operation documentation (customs clearance, invoice verification), take necessary actions to resolve operational issues, and escalate problems to supervisors.
  • Collect and compile data, prepare or contribute to reports (product committee, transport and insurance reports, standardized project reports, financial closure, physical inventory, transport performance reports) ensuring accuracy in internal systems to facilitate informed decision-making.
  • Liaise with internal stakeholders and limited external parties to help manage logistics operations efficiently.
  • Provide guidance to other support staff to help them complete routine tasks within agreed standards and deadlines.

Requirements

  • Diplôme d'études secondaires (Baccalauréat) required; a post-secondary certificate in the functional area is desirable.
  • Experience with internal systems used to track ongoing shipments, supplies, claims, and food stocks.
  • Experience in data analysis (goods, funds, etc.) and reporting.
  • Experience evaluating service providers' performance against key performance indicators.
  • Experience assisting in the preparation of contractual documents.
  • Experience providing technical assistance in the use of internal systems.
  • Proficiency in French at level C; intermediate English (level B) is an asset.
