See your match score & applyThe Procurement Assistant supports procurement and contracting processes including requisition monitoring, purchase order management, supplier communication, and documentation maintenance. The role assists in the preparation and distribution of procurement documents and ensures accurate record keeping in compliance with UNRWA policies.
Responsibilities
- Follow-up on procurement and contracting processes including receipt of requirements, monitoring requisition details, and consolidation of purchase requisitions to facilitate bidding.
- Maintain standard documents for correspondence related to purchase orders, acknowledgements, due dates, and deliveries.
- Update procurement requisition records and assist in preparation of contract documentation; periodically contact contractors for updated information.
- Initiate requests related to quality control reports and report discrepancies as requested.
- Assist in submission of RFQ, Tender, and RFP documents to suppliers; distribute purchase order copies and maintain registers for outstanding orders and requisitions; follow up with suppliers and fields as necessary.
- Distribute materials, photocopy offers, follow up on submissions and receipts, receive samples and maintain records; prepare samples for inspection and store selected samples appropriately.
- Draft and type correspondence related to procurement functions and maintain accurate records.
- Perform other duties as assigned by the supervisor.
Requirements
- Secondary education from an accredited educational institution, plus successful completion of two years’ business course recognized by the Agency.
- Desirable: First university degree in business management or accounting.
- A minimum of four years’ clerical experience in procurement and logistics is required.
- English and Arabic language proficiency at UN Level II in reading, writing, listening, and speaking.
- Candidates must reside in Syria within commuting distance of the duty station and have authorization to work in Syria at the time of application.
