See your match score & applyThe Human Resources Assistant supports various HR functions including maintaining records, drafting correspondence, assisting in performance management activities, handling personnel contracts and documents, managing mail and filing, and providing general administrative support within the HR department of UNRWA in West Bank.
Responsibilities
- Check various human resources records, forms and tables for accuracy and initiate corrective action as required; maintain and update records and files and review documents and certificates before processing them on the Human Resources Management (HRM) System.
- Draft routine correspondences, fill out Personnel Action Forms and other forms; collect and compile information from files and prepare or assist in preparing and updating routine statistical and other periodic reports related to the functions of the relevant division/section.
- Participate in performance management activities including supporting staff and supervisors in completing the electronic performance management system, generating reports, maintaining the library of objectives for generic positions, tracking status of staff under probation or Opportunity to Improve (OTI), and drafting necessary letters to staff.
- Handle complementary personnel contracts and documents including receiving requests from departments, verification, obtaining approvals, data entry in the system, collecting attendance and reviewing payroll results.
- Receive, register and distribute incoming mail and dispatch outgoing mail; attend to reproduction, collation and stapling of documents; ensure scanning of all documents for official status files; maintain personnel records and files; assist in briefing new staff members and retirees and respond to queries on HR issues.
- Enter data on HRM System related to payroll, entitlements or movements and records as applicable.
- Relieve counterparts in other HR teams, sections or divisions as needed.
- Perform other duties as assigned by the supervisor.
Requirements
- Successful completion of full secondary education.
- Two-year post-secondary diploma in human resources management, Business Administration or related subject.
- At least four years of relevant experience in human resources management or related administrative duties is required.
- Proficiency in Microsoft applications (Word, Excel, Outlook) is required.
- Ability to maintain confidentiality.
- Candidates must reside in West Bank or Jerusalem and have authorization to work in the duty station at the time of application.
- Preference given to registered Palestine refugees and candidates assisting the Agency to meet its commitment to gender parity.
