The Project Associate will support the implementation of the Shifting to Zero Waste Against Pollution (SWAP) Initiative Project, assisting the Project Manager and Project Field Coordinator in day-to-day project activities, reporting, and stakeholder liaison. The role involves administrative, logistical, and coordination support to ensure timely and efficient project delivery.

Responsibilities

  • Provide inputs to the preparation of Annual Work Plans (AWPs) under the guidance of the Project Manager and Project Field Coordinator.
  • Support the preparation of the annual budgets and procurement plans of the Project.
  • Make periodic revisions of AWPs and procurement plans in consultation with Project Manager and Project Field Coordinator.
  • Provide general administrative support to ensure smooth running of project management.
  • Provide project logistic support for trainings, workshops, stakeholder consultations, study tours, etc.
  • Support budget expenditure control by preparing payment and Daily Subsistence Allowance (DSA) documents and reviewing financial reports.
  • Control usage of non-expendable equipment and maintain inventories.
  • Maintain regular contact with project experts and consultants.
  • Provide English translation as required.
  • Draft Terms of References and other administrative documentation for procurement.
  • Provide logistical support for travel arrangements and manage visa, transportation, accommodation for foreign experts.
  • Support implementation and monitoring of site-based joint activities with local stakeholders.
  • File and archive all relevant correspondence and project-related documents.
  • Support organization and logistical preparation of project activities.
  • Coordinate implementation with project partners ensuring effective information flow.
  • Organize Project Steering Committee meetings, project meetings, reviews, site visits, and events.
  • Compile information on contractor performance and report issues.
  • Monitor bottlenecks and propose corrective actions.
  • Prepare inputs to APR and compile project reports including monthly, quarterly, donor, and final reports.
  • Draft correspondence, notes, briefs, and other documentation.
  • Support mainstreaming of gender equality in project activities.
  • Prepare inputs to tender documents, technical specifications, terms of references, bills of quantities.
  • Provide administrative and documentation support to Implementing Partner and UNDP in procurement processes.
  • Perform other duties within functional profile as necessary.

Requirements

  • Bachelor's Degree - 4 year(s) experience OR High School certificate- 7 year(s) experience
  • Secondary education is required, or University Degree in business administration/economics, engineering, political/social sciences, urban or/and regional planning, climate change, administrative sciences or environmental sciences, or related fields will be given due consideration, but it is not a requirement.
  • A minimum of 7 years (with high school diploma) or 4 years (with bachelor’s degree) of progressively responsible administrative or project experience is required.
  • Excellent command of office software, such as word processors, spreadsheets, databases.
  • Experience in project cycle management in the public or private sector or NGOs or international organizations.
  • Experience in at least one climate change, environment or chemicals and waste project.
  • Experience in budget planning and monitoring.
  • Experience working in UN Organizations.
  • Experience in organizing and coordinating events and activities including planning, organizing logistics, and preparing documentation for hybrid, in-person, and online formats.
  • Experience in at least 1 project in collaboration with governmental organizations and/or local governments.
  • Additional years of experience working with international institutions/organizations.
  • Fluency in the UN language of the duty station is required.
  • Fluency in the national language of the duty station is required.
