See your match score & applyThe Senior Staff Assistant provides high-level administrative and secretarial support to the Assistant Secretary-General in the United Nations Support Office in Haiti. The role involves managing the ASG’s calendar, correspondence, travel arrangements, and serving as a liaison with various UN and external entities, ensuring efficient office operations and confidentiality.
Responsibilities
- Manage and maintain the ASG’s calendar, appointments, meetings, and official engagements, including with senior government officials, diplomats, and visiting delegations.
- Screen, prioritize, and manage all incoming and outgoing correspondence, including confidential and sensitive materials.
- Draft, format, edit, and finalize correspondence, notes, submissions, and other documents for the ASG, ensuring accuracy, clarity, and timeliness.
- Ensure effective follow‑up on decisions and action points arising from meetings and communications.
- Serve as a key liaison between the ASG and Mission components, UN Headquarters, BINUH, UN country team, and as necessary, the Gang Suppression Force (GSF) on administrative issues.
- Organize and coordinate the ASG’s official travel, including itineraries, visas, clearances, and logistical arrangements.
- Provide administrative support related to attendance, leave monitoring, travel claims, requisitions, and other administrative processes within the Office of the ASG.
- Support workflow management and prioritization in the ASG Office, contributing to the overall efficiency and effectiveness of the Front Office.
- Ensure proper record‑keeping and secure handling of sensitive information in accordance with UN rules, policies and standards.
- Develop and manage the Office’s SharePoint and other IT-related applications and platforms and ensure Front Office staff are suitably trained on the same, as required.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent is required.
- A high education degree on social, communication, economic or political sciences, or related area, is desirable.
- Additional technical training in secretarial or administration is desirable.
- A minimum of eight years' working experience in UN field operations of the UN Common system is required.
- A minimum of four years' progressive experience working for a high-ranking UN Official is required.
- Experience in providing personal assistance and administrative support in the front office of a Head of Mission is required.
- Experience in international operations in a conflict environment is required.
- English and French are required at UN Level III for reading, writing, listening, and speaking.
