See your match score & applyThe HR and Administration Technical Assistant supports the Administration and Human Resources Department in the daily implementation of administrative and HR activities at the NRC Sub-Office in South Kivu. The role involves managing administrative tasks, document archiving, travel arrangements, and supporting recruitment processes.
Responsibilities
- Work in compliance with NRC policies, tools, manuals, and guidelines.
- Assist in implementing the administrative function according to the mission's action plan.
- Ensure proper archiving of administrative documents both physical and electronic in collaboration with the HR/Admin Officer.
- Propose ideas to improve administrative/HR functions in the South Kivu Sub-Office.
- Contribute to effective management of administrative/HR activities in the South Kivu Sub-Office.
- Prepare reports on the progress of administrative activities upon request.
- Manage internal and external mail reception and dispatch, maintain a tracking register.
- Handle all boat ticket reservations for NRC staff travel in South Kivu.
- Prepare monthly travel movement summaries and submit to HR/Admin Officer for follow-up.
- Prepare monthly flight invoice summaries and submit to HR/Admin Officer for payment follow-up.
- Archive all administrative documents and partner invoices and payment proofs physically and electronically.
- Serve as focal point for relations with CNSS (enrollment, contribution payments, etc.).
- Support recruitment of occasional workforce (publication, dossier collection, organizing tests and interviews).
- Compile complete employee files upon entry according to NRC checklist.
- Ensure job descriptions are signed and properly filed for new employees.
- Maintain and update personnel files for the South Kivu Sub-Office.
- Ensure proper archiving of employee cycle files physically and electronically.
- Track monthly leave movements and submit updated tracker to HR/Admin Officer.
- Ensure proper documentation and filing of payment declarations and proofs.
- Obtain signatures on pay slips monthly and archive accordingly.
- Update and monitor timesheets for national staff.
- Regularly report activities to hierarchy and seek support when necessary.
- Perform other tasks assigned by supervisor.
Requirements
- Bachelor's degree in law, finance, accounting, economics, business management and administration, or a relevant discipline.
- Ability to meet deadlines.
- Ability to write clear and concise reports.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook) and other data analysis and processing tools.
- Good knowledge of travel management and accommodation arrangements.
- Fluency in French, both written and spoken.
