The Desktop Publishing Assistant supports the Meetings Support Section by scanning documents, performing quality control of digitized Spanish language files, applying metadata entry rules, and ensuring documents conform to UN style and typographic standards. The role involves using desktop publishing software and managing document submission in the publishing system database.
Responsibilities
- Scan documents.
- Perform quality control of all digitized Spanish language files and related metadata to ensure accuracy and completeness, both before and after ingestion into the content management system, ensuring that the final version conforms to UN style and typographic standards.
- Using appropriate desktop publishing software, apply standard metadata entry rules in accordance with DGACM policies and procedures (titles, dates, descriptions, subjects, speakers, intergovernmental body, personal names, legacy technical metadata).
- Research, compile and consult primary and secondary sources of information (editorial, terminology, reference, etc.) in cases where items have little to no information.
- Check files out and into the publishing system database and ensure that outgoing documents are submitted correctly in the respective language.
- Perform other related work as required.
Requirements
- High school diploma or equivalent required.
- University level courses and/or formal training/courses in desktop publishing, graphic art, design, multimedia or related field is desirable.
- A minimum of five (5) years of experience organizing and researching documentation for reference and/or filing purposes is required.
- Experience with paper records digitization using professional scanners and related software is desirable.
- Working knowledge of Adobe Acrobat DC is desirable.
- Advanced knowledge of Microsoft Office Suite (Word, Excel and Power Point), Internet, desktop publishing and graphic software (Adobe Creative Suite, i.e. InDesign, Photoshop, Illustrator, Acrobat).
- Knowledge of editorial and desktop publishing best practices.
- Knowledge of language terminology and metadata techniques.
- Ability to research, select, organize and summarize information.
- Ability to apply good judgment in the context of assignments given.
- Demonstrates professional competence and mastery of subject matter.
- Commitment to implementing the goal of gender equality by ensuring the equal participation and full involvement of women and men in all aspects of work.
- English and Spanish required at UN Level II for reading, writing, listening, and speaking.
