The Project Assistant (Field Operations) supports the implementation of project activities by providing general and clerical assistance, compiling and presenting data, assisting in budget monitoring, coordinating administrative tasks, drafting reports and correspondence, organizing meetings and training sessions, responding to information requests, and driving official vehicles as needed.
Responsibilities
- Provide general/clerical assistance in the implementation of project activities.
- Retrieve, compile, summarize, and present information/data on specific project topics.
- Assist in monitoring budget and updating budget related information.
- Support administrative coordination for project implementation, involving liaison with diverse organizational units or external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions.
- Draft status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
- Support the organization of meetings, workshops and training sessions.
- Respond to general information requests and inquiries; set up and maintain files/records.
- Drive the official IOM vehicles as needed, and as requested by the supervisor and/or the office manager.
- Perform other related duties as assigned.
Requirements
- School diploma with three years of relevant experience; or, Bachelor's degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with one year of relevant professional experience.
- Valid national driver´s licence.
- Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations.
- Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
- Good computer skills, including Word, Excel, and Internet.
- Strong interpersonal and communication skills.
- General knowledge of basic administrative and logistical procedures in support of field activities.
- Familiarity with information collection tools and with providing guidance to migrants, refugees, and host communities.
- Basic understanding of the local context and of humanitarian assistance principles under the Organization’s mandate.
- Knowledge of driver´s rules and regulations, basic vehicle maintenance and radio communications.
- Fluency in Spanish (oral and written) is required.
