See your match score & applyThe Team Assistant (Hindi Project) supports the implementation of communication activities under the Hindi Language Project within the News & Media Division of the Department of Global Communications. The role involves office support, administrative functions, document preparation, media monitoring, and assisting in communication campaigns targeting Hindi-speaking audiences.
Responsibilities
- Performs a wide range of office support and administrative functions in support of the implementation of communication activities under the Hindi Language Project.
- Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
- Monitors processes and schedules related to the unit’s outputs, products, tasks, etc.; assists in verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
- Researches, compiles and organizes background information, conducts basic research and maintains reference materials to support the preparation of news stories, communication products and other outputs for Hindi-speaking audiences.
- Generates a variety of standard statistical and other reports, work orders, etc., using various databases.
- Proofreads documents and edits communication materials, including news stories, web content and social media posts, for accuracy, grammar, punctuation, style and adherence to established editorial standards prior to publication.
- Provides secretarial, administrative and logistics support to meetings, coordination activities, outreach events and communication campaigns related to the Hindi Language Project, including liaison with UN News language teams and other organizational units.
- Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
- Assists in the preparation and basic language adaptation of communication materials and supports translation-related activities under the guidance of professional staff, as appropriate.
- Assists in the preparation of presentation materials using appropriate technology/software.
- Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
- Performs data entry and extraction functions.
- Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
- Updates and maintains communication databases, editorial calendars, mailing lists and digital records related to the Hindi Language Project; monitors, prepares and distributes communication materials and reports, where possible using electronic formats; handles arrangements for printing, translation and distribution as necessary.
- Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), including preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
- Maintains files (both paper and electronic) and databases for Hindi Language Project.
- Assists in providing software and office equipment support.
- Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc.
- Assists in monitoring media coverage and social media channels related to United Nations priorities; assists with the collection and analysis of related information and prepares routine summaries, reports and presentations for information sharing, planning and decision-making.
- Assists with updating communication materials, including web pages, brochures and other digital communication products.
- Performs other duties as assigned.
Requirements
- High school diploma or equivalent is required.
- A minimum of three (3) years of relevant professional experience in communications is required.
- The minimum years of relevant experience is reduced to one (1) year for candidates who possess a first-level university degree or higher.
- Experience in social media digital content support and social media content support is desirable.
- Experience in media monitoring or research is desirable.
- Experience in supporting communications campaigns or outreach initiatives is desirable.
- Experience working in the United Nations Common System or in similar large organizations is desirable.
- English is required at UN Level III for reading, writing, listening, and speaking.
- Hindi is required at UN Level III for reading, writing, listening, and speaking.
