Under the supervision of the Head of Office, responsible for providing procedural communications, operational and administrative support services, as well as specialized administrative functions to ensure smooth and efficient management of the supervisor’s daily activities and overall functioning of the section. Represents the supervisor in initiating, following up on, and resolving issues related to administrative requests, contributing to office operations effectiveness and continuity.
Responsibilities
- Provide procedural communications, operational and administrative support services to the Head of Office.
- Perform specialized administrative functions to ensure smooth and efficient management of the supervisor’s daily activities and overall functioning of the section.
- Represent the supervisor in initiating, following up on, and resolving issues related to administrative requests.
- Contribute to the effectiveness and continuity of office operations.
- Support communications, administrative, operations, budget monitoring, and procurement functions.
Requirements
- Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
- A minimum of six years of relevant administrative or clerical work experience is required.
- Knowledge of MS Word, Excel, PowerPoint, SharePoint, Administrative Procedures, Confidentiality is required.
- Fluency in French required.
- Knowledge of another official UN language (English, Arabic, Chinese, Russian or Spanish) or a local language is desirable.
- Experience in VISION ERP Proficiency, Business Administration course, Office Administration, Budget Monitoring & Control, Consultant Contract Management, Financial Administrative Operations is an asset.
- Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts is desirable.
