This internship position supports the General Services Unit in administrative tasks related to travel management, procurement processes, and inventory reporting. The role involves assisting with travel arrangements, administrative procedures, and supporting the office's sustainable development agenda through efficient resource management.

Responsibilities

  • Provide administrative support in the Travel Unit related to travel management tasks.
  • Assist in organizing acquisition processes related to travel.
  • Provide information to staff about travel rights, itineraries, and hotel reservations.
  • Collect, organize, and analyze relevant information to provide the best service to units.
  • Support management of requests and follow-up of internal administrative procedures, providing support to areas as needed.
  • Assist in supporting General Services requirements.
  • Support in completing forms required for micro-purchases and payment requests.
  • Assist in administrative activities in accordance with UN and UNDP norms, regulations, policies, and strategies.
  • Assist in proper management of supplies and assets.
  • Help prepare necessary inventory reports.
  • Support invoice reconciliation and cost recovery in the system for travel services and other services provided by UNDP to other agencies.

Requirements

  • Academic areas: economic-administrative and/or related fields.
  • Ability to work in a team and manage multiple tasks simultaneously.
  • Assertive communication skills.
  • Applicants must meet one of the following academic requirements: be in the last year of undergraduate studies, be enrolled in postgraduate studies (master's or higher), or have graduated with a university degree (undergraduate or postgraduate) within one year prior to starting the internship.
  • Experience in using Office software packages (Word, Excel, PowerPoint). Power BI is desirable.
  • Intermediate level of English language.
  • Letter of interest.
  • Valid medical coverage during the internship period.
  • Availability to work full-time schedule (Monday to Thursday 8:30 am to 5:00 pm, Friday 8:30 am to 12:00 pm), including home office on Monday and Friday and office attendance Tuesday to Thursday.
  • Desirable knowledge in travel and expense reports.
  • Desirable knowledge of purchase orders and databases.
  • Desirable experience with ERP or GRP systems.
  • Interest in human rights and gender issues.
  • Must be a Mexican citizen in full exercise of rights or a foreigner with legal status to perform the function.
  • Must not have been sentenced to imprisonment for intentional crime.
  • Must comply with local laws, customs, including tax payments.
  • Internship requires at least 20 hours per week with some flexibility according to study program.
