The Movement Operations Assistant supports the scheduling and arrangement of travel for migrants and IOM staff, assists with airport services and movement management operations, and provides administrative support related to movement activities. The role involves coordination with various stakeholders and ensuring compliance with IOM standards and procedures.

Responsibilities

  • Assist with scheduling and arranging travel with Programmes colleagues, RMM staff responsible for bookings, and other relevant stakeholders for individuals including beneficiaries and IOM staff, consultants and interns, upon receipt of travel-ready status and/or request in accordance with travel requirements, including but not limited to the distribution of Advance Booking Notifications (ABNs), updates, domestic flights, cancellations and departure notifications.
  • Assist movement management operations by performing airport services, such as providing custodial care of travel documentation; verifying identities and documentation, including exit permissions, visas, tickets and other items in the travel bag; assisting with airport formalities, including flight arrivals, curb-side assistance, check-in, luggage formalities, immigration procedures, security screening systems and customs clearance; escorting arriving individuals to ground transportation and departing individuals to their gates; visually confirming flights have departed; monitoring that individuals with special needs or equipment receive appropriate support; and, as needed, sending notifications using relevant systems.
  • Provide support to project activities through the preparation of relevant reports such as daily lists, movement updates and other relevant movement records and statistics related to movements operations.
  • Assist with arrangements for escorts accompanying vulnerable individuals in accordance with local practices and RMM guidelines and standards, through liaison with Programmes colleagues and RMM staff responsible for bookings.
  • Provide pre-departure information on pre-embarkation procedures and travel-related requirements (such as meals, medication, wheelchairs and medical conditions) as needed.
  • Assist with administrative tasks related to movement management, including but not limited to collecting, organizing and filing receipts and other supporting documentation.
  • Inform the supervisor regularly or upon request on work being accomplished and keep them as well as team members immediately informed of any issues requiring their attention.
  • Demonstrate knowledge of applicable SOPs, related systems and databases, and IOM Standards of Conduct. Maintain the confidentiality and integrity of all relevant paperwork in line with SOPs, Standards of Conduct and relevant data protection rules.
  • Perform such other duties as may be assigned.

Requirements

  • High school diploma with four years of relevant experience; or, Bachelor's degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with two years of relevant professional experience.
  • Accredited Universities are those listed in the UNESCO World Higher Education Database.
  • Prior Movement Operations or transportation experience.
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups.
  • Prior work experience with international organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Computer/software literate with good knowledge of Microsoft Office.
  • Strong interpersonal and communication skills.
  • Attention to detail and ability to organize.
  • Self-motivated and objective driven.
  • Fluency in English (oral and written) is required.
  • Working knowledge of Norwegian is a distinct advantage.
