The Project Associate will provide general, administrative and financial support to coordination and implementation of multiple Global Environmental Facility enabling activities related to the Kunming-Montreal Global Biodiversity Framework in the Eastern Caribbean. The role supports project planning, implementation, monitoring, evaluation, reporting, and knowledge sharing to ensure effective delivery of biodiversity and environmental projects.
Responsibilities
- Provide high-quality project and administrative, coordination and monitoring support for the implementation of the projects.
- Support project planning and implementation including compiling and summarizing information for work plans, budgets, and proposals.
- Ensure compliance of project business processes with UNDP Project Operational Policies and Procedures and Standard Operating Procedures.
- Engage with UNDP’s Enterprise Resource Planning software/systems to enter budgets, budget revisions, and other project data/information, process transactions, and extract system reports on project expenditure.
- Review, track and reconcile project expenditure and provide system reports and information to facilitate budget management.
- Support the systematic maintenance of project documents and information for access and retention.
- Provide administrative and logistical support including organizing/coordinating project meetings, events, procurement procedures, maintaining records, recruiting project team members, and supporting contracting activities.
- Support effective monitoring, evaluation, and reporting on project progress.
- Collect, analyze and present information for monitoring and evaluation against project targets and for audit purposes.
- Assist in organizing field and study visits, missions, workshops, roundtables, and conferences.
- Assist in implementation of effective risk management with a documented risk mitigation plan and support monitoring of risks.
- Regularly monitor expenditures and commitments against the project budget and provide finance-related information to support project implementation.
- Prepare and consolidate required project reports in line with monitoring and reporting guidelines and donor requirements.
- Participate in training and organize briefings on internal procedures for project staff.
- Support capacity building activities including design and delivery of tools and materials for workshops or platforms.
- Support dissemination and sharing of relevant data and lessons learned within the CO and regionally.
- Contribute to knowledge networks and communities of practice and support compiling and systematizing project knowledge, products and tools for wide distribution.
- Perform other duties within functional profile as necessary for efficient functioning of the Office and Organization.
Requirements
- Bachelor's Degree - 3 years experience OR High School certificate - 6 years experience in administrative, operational or financial support to office/team.
- Secondary education is required; a university degree in Business Administration, Management, Accounting or related field will be given due consideration but is not a requirement.
- Minimum 6 years (with secondary education) or 3 years (with Bachelor’s degree) of relevant experience in administrative, operational or financial support to office/team.
- Intermediate to advanced proficiency with industry standard word processing, presentation, and spreadsheet software programmes.
- Experience in providing programme support, operational, administrative and/or financial support to projects of similar size and complexity.
- Experience in filing, recordkeeping and/or data/record management.
- Experience in budget management.
- Experience providing financial and administrative support to the implementation of GEF projects or projects funded by other environmental vertical funds such as GCF.
- Experience with planning workshops, conferences, or events.
- Experience in the UN Common System or similar international or multi-lateral organization.
- Previous experience with corporate Enterprise Resource Planning (ERP) systems, especially those used in the UN common system.
- Fluency in written and spoken English is required.
- Applicants must have legal authorization to work in the duty station at the time of application (e.g., CARICOM Skills National Certificate or work permit).
