The Finance Assistant is responsible for handling daily administrative and HR duties, providing clerical support to staff and the finance department to ensure effective and efficient operations. The role includes petty cash management, financial document organization, payment facilitation, and audit support.

Responsibilities

  • Manage petty cash fund and work advances for Gambella Office, ensuring proper handling and replenishment when fund reaches allowed limit.
  • Collect all debit or credit advice from banks and submit for recording.
  • Remind finance officer of maximum fund balance bi-weekly and collect justification for unspent cash.
  • Ensure all financial documents are chronologically arranged, filed, scanned, and uploaded to OneDrive.
  • Make cash payments when required.
  • Support the Program Area Finance Officer in paying tax issues to relevant tax authorities.
  • Conduct monthly summary of pension, income tax, and withholding tax and submit to finance officer for payment facilitation.
  • Facilitate payment transfers to suppliers, partners, and other stakeholders as required.
  • Ensure safety of financial documents and adherence to organizational policy.
  • Maintain filing systems for easy document retrieval and ensure all documents fulfill appropriate source documentation.
  • Report any potential or actual risks promptly.
  • Support other staff on finance-related issues.
  • Assist Program Area Finance Officer in audit facilitation.
  • Perform other assignments as instructed by the immediate supervisor.

Requirements

  • Diploma in accounting/business management with at least 2 years of experience in a similar position.
  • Excellent English, both written and verbal.
  • Preferential knowledge of safety issues in cash management.
  • Knowledge of best practices in handling transactions.
  • Bookkeeping and interpersonal skills.
  • Basic computer skills to process various document settlements, such as Excel.
  • Ample knowledge of currency denominations and counting.
  • Advanced computer skills, especially in Excel, Word, and the use of email.
  • Ability to communicate at all levels, including in difficult circumstances.
  • Ability to work under pressure within a diverse team, being dynamic, tenacious, and committed.
  • Respectful and polite to multicultural people, considering oneself as a team member.
  • Very good written and spoken English.
  • Very good communication skills with all levels of staff.
  • Willingness to travel to field sites.
  • High commitment to confidentiality.
  • Gender sensitivity.
  • Fluency in English is essential; knowledge of Amharic and other local languages is preferable.
  • Understands and practices responsibilities under Safeguarding and Gender Equality and Inclusion policies and Plan International’s Code of Conduct.
  • Ensures staff induction on safeguarding and GEI policies.
  • Contributes to Plan International’s global efforts on safeguarding and GEI, including reporting and data submission.
