The Administrative Assistant provides administrative support to the Head of the Independent Oversight Mechanism (IOM) including correspondence, calendar management, procurement, budget tracking, and confidential case management. The role supports oversight activities such as investigations, evaluations, and inspections within the ICC.

Responsibilities

  • Provide administrative support to the Head, IOM including for correspondence, calendar management, procurement actions, raising purchase requisitions and purchase orders.
  • Manage the IOM budget execution; track expenditures against the budget and perform quality checks on requisitions.
  • Administrate the office’s time recording and attendance systems, travel plans, office supplies and other administrative systems.
  • Administrate the office’s highly confidential investigation, evaluation and inspection case recording system, and provide regular summary updates for quarterly reporting.
  • Assist the professional staff with confidential interview note-taking as required.
  • Assist the professional staff in obtaining confidential administrative background information for investigation and other purposes as required.
  • Conduct research and assist preparing investigation report.
  • Assist with in conducting intakes.

Requirements

  • Diploma of High School or University.
  • A minimum of six years with a diploma of secondary education or two years with a university degree, of administrative experience, or support to oversight activities such as investigations, due diligence, evaluations or inspections; preferably in an international organisation.
  • Experience in designing and administering physical and electronic document filing systems.
  • Experience in formal interview note-taking, or transcription services or report drafting.
  • Good knowledge of general office management policies, procedures and practices.
  • Excellent skills in Microsoft standard applications, i.e. Word, Excel and Power Point as well as experience as an advanced user of an Enterprise Resource Planning application (SAP).
  • Excellent communication, drafting and organisational skills.
  • Confident, trustworthy, able to maintain strict confidentiality and to work alone without direction.
  • Ability to establish and maintain working relations with people in a multi-cultural multi-ethnic environment.
  • Thorough and detail oriented.
  • Knowledge of oversight activities and procedures.
  • Proficiency in one of the working languages of the Court, English or French is required.
  • Working knowledge of the other is an asset.
  • Knowledge of another official language of the Court (Arabic, Chinese, Russian and Spanish) would be considered an asset.
