The Senior Grant and Reporting Officer coordinates the overall grant management process ensuring compliance with donor requirements, supports reporting and financial consolidation, manages grant documentation and information sharing, and supports contract and budget amendment processes. The role requires strong coordination with multiple NGOs and internal teams to ensure timely and accurate reporting and compliance.

Responsibilities

  • Coordinate the overall grant management process through effective internal and external communication channels.
  • Ensure strict compliance with donor requirements for reporting, operational monitoring and financial management.
  • Provide French/English and English/French translations of reports and/or proofreading of documents.
  • Effectively track ongoing grants and contracts and ensure smooth Project Cycle Meeting (PCM) processes.
  • Develop amendments, extensions, budget modifications and other donor requests.
  • Prepare donor briefings and support preparation of monitoring visits.
  • Manage contractual processes related to budget realignments, modification requests, revisions and contract addenda.
  • Proactively raise potential compliance issues to coordination teams and keep the Grants Coordinator informed of any anticipated inability to meet contractual obligations.
  • Maintain broad and deep understanding of donor policies, regulations and procedures and develop this knowledge among program and operations staff.
  • Collect, review and consolidate monthly and quarterly narrative reports.
  • Support donor report writing and improve report quality until validation and submission by headquarters within deadlines.
  • Coordinate with finance teams to consolidate financial reports.
  • Ensure quality, accuracy and consistency of data submitted by member NGOs.
  • Manage the grants document base: contracts, annexes, reports, official correspondence for all IRC Niger grants portfolio.
  • Ensure all final reports and proposals are uploaded to the appropriate folder on the public server.
  • Update the consortium grant tracker and alert on critical deadlines.
  • Manage information by regularly updating grant files, IRC internal reporting documentation and other Grants Office tools, and participate in coordination and preparation of documents and files for internal and external audits.
  • Share grant-related documents (project proposals, reports, budgets, etc.) with all IRC staff related to various programs.

Requirements

  • Master or Bachelor's Degree in international relations, humanitarian action, project management or equivalent.
  • Minimum 2 years of experience in humanitarian grant management, including at least 1 year in a consortium.
  • Experience coordinating multiple NGOs, especially with national partners.
  • Excellent skills in narrative report writing and multi-partner consolidation.
  • Familiarity with grant contracts and regulations of major American donors (OFDA, FFP, BPRM, CDC), European donors (DFID, ECHO, Europe Aid, Swiss Cooperation, Sida), and United Nations (UNHCR, UNICEF, IOM).
  • Good command of Word, Excel and document management systems.
  • Fluency in French is mandatory; English is desirable.
  • Ability to work under pressure, meet strict deadlines and coordinate multiple information flows simultaneously.
  • High attention to detail, formatting, presentation, and readability of documents.
  • Ability to work in a multicultural office team.
  • Adaptability and ability to accept and prioritize new tasks according to urgent needs in a constantly evolving environment.
  • Good interpersonal skills, diplomacy, and ability to facilitate multi-stakeholder spaces.
  • Genuine interest in humanitarian projects and programs including Nutrition, Reproductive Health, Protection, Food Security and Livelihoods, WASH, Education, and Rapid Response Mechanisms to population movements.
