The Senior Medical Associate oversees the medical assistance provided at the IOM Migrant Transit Centre in Addis Ababa, coordinating medical staff and ensuring proper medical documentation and support for vulnerable Ethiopian migrant returnees. The role involves supervising medical assistants, managing medical records, and supporting health assessment missions in Ethiopia.

Responsibilities

  • Organize the Medical Assistants Roster and assign various duties in the Transit Centre (TC) as well as actively participate in day-to-day scheduling.
  • Develop and keep up-to-date the TC’s Standard Operating Procedures (SOPs) related to medical assistance.
  • Supervise and train medical staff at the TC in compliance with the TC’s Medical Assistants’ SOPs.
  • Assist in analysis of various tools pertaining to migrant flow and satisfaction in TC, including active monitoring of scheduling trends.
  • Prepare medical forms, laboratory labels, serology code books, chest x-ray labels and daily scheduling of TC health assessments.
  • Ensure that reception area is well organized and presentable at all times.
  • Assist in improving the integrity of customer care work by proposing key fraud prevention measures.
  • Oversee the completion of medical documents and ensure they are transmitted to relevant partners, either electronically or by courier.
  • Prepare and submit monthly statistics on Health Assessments performed at the TC.
  • Prepare correspondence to respond to queries related to Protection Unit matters, including with medical staff in other IOM missions.
  • File incoming/outgoing letters, reports, memoranda, emails, faxes and IOM documents and forms related to medical issues.
  • Participate in health assessment missions in Ethiopia, including at IOM’s Migration Response Centres (MRC).
  • Suggest improvements to strengthen internal control mechanisms and provide inputs for new procedures to complement or adapt existing instructions for efficiency.
  • Support coordination of medical cases with designated referral facilities, partner hospitals and clinics.
  • Monitor work of implementing partners and report any non-compliance to the supervisor.
  • Provide inputs for the development of Standard Operating Procedures (SOP) and concept papers and general support for new project development.
  • Provide guidance and assist in coordinating and monitoring the work of other staff in the unit, as assigned.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree in health sciences, Public Health, or a related field from an accredited academic institution with four years of relevant working experience; or High school diploma with six years of relevant working experience.
  • Accredited Universities are those listed in the UNESCO World Higher Education Database.
  • Experience in coordinating administrative, health support or operational activities, preferably in a customer service, health, humanitarian or administrative environment.
  • Knowledge of data management principles.
  • Training in data management, information systems or related fields is an advantage.
  • Knowledge of customer care.
  • High computer literacy in Windows and MS Office is mandatory.
  • In-depth use of MS office applications, data collection and manipulation.
  • Knowledge of medical terminology and experience in records management, document filing or archival systems is an added advantage.
  • Previous working experience with NGOs or international organizations is an added advantage.
  • At least an intermediate level of MS office skills.
  • Effective coordination and organizational skills in the provision of administrative, customer care and health support services.
  • Analytical skills.
  • Excellent communication skills.
  • Attention to detail and accuracy in data entry and record keeping.
  • Fluency in English and Amharic (oral and written) is required.
  • Desirable knowledge of other Ethiopian languages including Afaan Oromoo and Tigrigna.
