The Procurement Assistant supports the procurement and contracting processes by following up on requisitions, maintaining procurement records, assisting in contract documentation, and coordinating with suppliers and internal stakeholders. The role involves administrative support to ensure timely and accurate procurement operations within the Field Logistics and Procurement Department at UNRWA West Bank Field Office.

Responsibilities

  • Follow-up on procurement and contracting processes including receipt of requirements and monitoring accuracy of requisition details.
  • Consolidate purchase requisitions and prepare data to facilitate the bidding process.
  • Maintain standard documents for correspondence related to purchase orders, acknowledgements, due dates and deliveries.
  • Update records of procurement requisitions and assist in preparation of contract documentation.
  • Contact contractors periodically to obtain updated information.
  • Initiate requests related to quality control reports and report discrepancies.
  • Assist in submission of RFQ, Tender, and RFP documents to suppliers and distribute purchase order copies to concerned parties.
  • Maintain register for outstanding purchase orders and requisitions and follow up with suppliers and fields as necessary.
  • Distribute materials as required, photocopy offers and distribute to end users, follow up on submissions and receipts, receive samples and maintain records.
  • Prepare samples for inspection by the Sample Technical Evaluation Committee and store selected samples appropriately.
  • Draft and type correspondence related to procurement functions and maintain accurate records.
  • Perform other duties as assigned by the supervisor.

Requirements

  • Secondary education plus successful completion of two years’ business course recognized by the Agency.
  • A minimum of three years’ clerical experience in procurement and logistics is required.
  • English language proficiency at UN Level II in reading, writing, listening, and speaking is required.
  • Arabic language proficiency at UN Level I in reading, writing, listening, and speaking is desirable.

  • Applicants must be residing in West Bank or Jerusalem, within commuting distance of the duty station, and authorized to work in the duty station at the time of application.
  • Only candidates with valid work permits for West Bank/Jerusalem will be considered; the Agency will not facilitate work permit issuance.
  • Preference will be given to registered Palestine refugees and candidates of the underrepresented gender to assist the Agency to meet its commitment to gender parity.
