The Awards & Partnerships Assistant supports the awards & partnerships management team in planning, securing, and managing development and humanitarian awards. The role involves award information management, compliance with systems and processes, and collaboration with various internal teams to ensure donor compliance and effective partnership management.

Responsibilities

  • Support the timely completion of proposals and awards risk tools and ensure timely uploading to awards management system (AMS).
  • Manage, process, and upload all award documentation at opportunity and proposal stages onto AMS.
  • Learn and follow SCI processes around awards and partnership management.
  • Maintain and ensure data quality in AMS, including audit trails for awards and partner records.
  • Use AMS reporting to monitor awards and plan key processes around partner reporting.
  • Develop compliance checklists and understand donor compliance requirements.
  • Provide portfolio analysis reports and support donor-ready reporting.
  • Perform financial analysis for award monitoring and budget line management.
  • Maintain income and funding trackers and other management information systems related to award management.
  • Coordinate award kick-off meetings and develop award progress review meeting templates.
  • Coordinate close-out meetings and ensure minutes and follow-up actions are documented and filed.
  • Create and maintain partner records in AMS, including legal vetting and archiving inactive records.
  • Initiate partner contracts, amendments, and related workflows in AMS.
  • Plan partner monitoring visits and coordinate with relevant functions.
  • Initiate timely partner payments and coordinate monthly partner progress review calls.
  • Manage user permissions and maintain user lists in AMS.
  • Provide orientation and capacity building on AMS usage to staff.
  • Monitor award data quality and provide monthly data quality reports and analysis.
  • Participate in AMS champions’ network and share best practices.
  • Support team activities and build relationships with other teams/functions.
  • Communicate effectively with team members, budget holders, program staff, finance, and partners to ensure seamless delivery.

Requirements

  • Professional qualification in business and/or international development, finance/accounting or similar.
  • University degree in international development, business administration, finance and/or accounting or related field.
  • Experience managing grants, contracts & sub agreements with knowledge of major funders’ guidelines.
  • Relevant experience managing donor funded projects with international NGOs particularly those addressing human/children’s rights and those applying partnership approaches.
  • Strong analytical skills, computer literacy and excellent documentation skills are necessary.
  • Ability to work well with a team and establish relationships with other teams/offices.
  • Cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures.
  • Highly developed interpersonal and communication skills including influencing and negotiation.
  • Experience working with implementing partners and managing partner awards/grants.
  • Excellent time management and planning capacity.
