The consultant will provide operational and administrative support to the Readiness team in coordinating and managing key workstreams under the Readiness and Preparatory Support Programme. Responsibilities include supporting administrative procedures related to disbursement processing, data tracking, reporting, and knowledge management activities.
Responsibilities
- Support in processing disbursement requests, including conducting sanction screening, verifying documentation completeness, and supporting workflow processing in relevant systems (e.g., PPMS, ERP platforms).
- Assist with coordinating internal reviews and tracking timelines to support timely completion of disbursement and UNOPS tranche processing.
- Maintain accurate records and trackers of disbursement processing status, pending actions, and follow-up items to support efficient workflow management.
- Support Readiness budget reconciliation processes, including data verification, record updates, and coordination with relevant departments.
- Assist in portfolio and pipeline tracking to support monitoring of grant status, including updating information required in the relevant systems (e.g. GPP).
- Assist in the closure process for legacy Readiness grants, including coordinating with relevant units, verifying completion of required documents and reports, updating portfolio records, and supporting follow-up actions as needed.
- Contribute to periodic data extraction, validation, and consolidation to support reporting requirements, dashboards, and portfolio analysis.
- Support the development and organization of knowledge management materials, including guidance notes, summaries, templates, FAQs, and training content for internal and external users.
- Assist in coordinating consultations, capacity-building sessions, and internal working meetings with stakeholders, including preparing agendas, minutes, and follow-up actions.
- Maintain documentation and filing of grant records in accordance with GCF information management standards and internal procedures.
- Contribute to system improvement efforts, including testing new features, recording user feedback, and helping draft simple job aids or process instructions.
- Support the preparation of internal briefs, operational summaries, and routine reporting to management and teams as required.
- Perform any other related administrative and operational tasks assigned by the Senior Readiness Specialist or DINVS management.
Requirements
- Minimum of Master’s Degree in accounting, finance, economics or related fields. A Bachelor’s Degree in a relevant field with additional 2 years of relevant experience may be accepted in lieu of the Master’s Degree requirement
- A minimum of 1 years of relevant experience in financial resource management, accounting, internal audit, and project/grant portfolio management, with strong analytical skills.
- Basic knowledge or experience with financial administration tasks such as reviewing documentation, supporting disbursement processes, or maintaining financial or project records is desirable.
- Proficiency in Microsoft Office applications (particularly Excel and Word); experience with workflow or data systems (e.g., grant management platforms, ERP systems, Salesforce, or similar tools) is an asset.
- Strong organizational and communication skills, with the ability to follow procedures, maintain accurate documentation, and coordinate with multiple stakeholders.
- Strong administrative, data, and information management skills, including the ability to maintain organized electronic records and documentation for review and audit purposes.
- Ability to manage multiple tasks and workflow steps simultaneously, demonstrating initiative, reliability, and a proactive approach to follow-up and problem-solving.
- Strong organizational and time management skills, with the capacity to prioritize tasks and meet deadlines in a fast-paced operational environment.
- Good communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external partners in a professional and service-oriented manner.
- Flexibility and adaptability in responding to shifting priorities and operational needs, including willingness to support ad-hoc requests and emerging tasks when required.
