The internship provides practical experience in Human Resources and Administrative functions within a multicultural and international working environment. The intern will support HR and Admin units under supervision, gaining professional skills and contributing to effective office operations.

Responsibilities

  • Provide administrative and clerical support to facilitate the effective implementation of Human Resources activities in the office.
  • Assist in communicating with candidates regarding recruitment processes, interview schedules, and other recruitment-related administrative matters.
  • Support the preparation of written tests, interview materials, and interview logistics, including scheduling and coordination with panel members.
  • Maintain and update electronic personnel files, records, and HR documentation in accordance with organizational policies and procedures.
  • Assist with onboarding activities for new staff members by coordinating with ICT, Procurement, Administration, and other relevant units to ensure timely completion of required arrangements.
  • Support the monitoring and tracking of staff attendance, leave records, mandatory trainings, and other HR compliance requirements.
  • Maintain and update HR databases, trackers, and employee records to ensure data accuracy and completeness.
  • Assist in the preparation of HR correspondence, reports, statistics, and other documentation as required.
  • Support the organization of staff learning and development activities, workshops, and employee engagement initiatives.
  • Provide reception support by welcoming visitors, answering telephone calls, and responding to routine inquiries, as required, in support of the Executive and Administrative Assistant.
  • Assist in coordinating courier services, mail distribution, and the delivery of documents and office supplies.
  • Support document management activities, including scanning, photocopying, printing, filing, and electronic archiving.
  • Assist in organizing meetings, workshops, and events, including venue preparation and logistical arrangements.
  • Support inventory tracking and the management of office supplies and stationery.
  • Provide general administrative support to facilitate the efficient and effective operation of the office, as required.
  • Perform other duties as assigned by the supervisor.

Requirements

  • Be enrolled in the final academic year of a first university degree programme in Business Administration, Finance, Management, Accounting, or a related field from an accredited academic institution (minimum Bachelor’s level or equivalent); or be enrolled in a graduate school programme in any of the above (second university degree or equivalent, or higher); or have graduated with a university degree (as mentioned above) and, if selected, must commence the internship within one year of graduation.
  • Previous experience in Human Resources, Business Administration, or a related field is advantage.
  • Experience in administrative tasks, document management, absence management etc.
  • Exposure to event planning, training coordination, or employee engagement activities.
  • Experience working in a multicultural or international environment is an advantage.
  • Strong verbal and written communication.
  • Ability to draft professional emails, reports, and presentations.
  • Ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy.
  • Ability to manage virtual meeting platforms (Zoom, Teams).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to collaborate with different teams and departments.
  • Strong people skills to engage with staff and stakeholders.
  • Professionalism and ability to work in a diverse, international environment.
  • Fluency in English and Tok Pisin is required.
